Attendee Information

Ahoy, gamers!  RinCon is on the horizon; here’s what you need to know!

rincon2023.sched.com:  If you haven’t yet signed into sched.com, you’ll need to do so to create your schedule and to check into your game sessions.  To create a new account, go to https://sched.com/signup, and BE SURE THE EMAIL YOU USE TO CREATE THE ACCOUNT IS THE SAME ONE YOU USED TO PURCHASE YOUR TICKET, OR THE SYSTEM WON’T SEE YOUR TICKET.  To sign in on an existing account, go to https://sched.com/login and then click on RinCon23.  Then, under the My Account menu, you can change your profile to public if you want your crew to be able to see your schedule and sign up with you, and for your GM and tablemates to know who’s playing with them.  Go ahead, take care of that now, we’ll be here when you get back.

Personal comfort: Bring a water bottle, plus whatever you need to be comfortable (a light jacket/sweater/cozy socks if you tend to be cold, a fan if you tend to be hot, a pillow to sit/lean on, comfy shoes, glasses, any medications you might need to manage your conditions, medically necessary food/supplements, etc.)

Community Food Bank: RinCon is holding a food-and-funds drive for the Community Food Bank at the convention.  You can bring items (or stop at the grocery store on the way in), or make a monetary donation in cash or at the website we’ll have posted.

How do I get to RinCon?  The Casino Del Sol Conference center is at 5655 W. Valencia Rd., Tucson AZ 85757.  From the main Valencia Road entrance, follow signs for GARAGE, and you can park for free in the parking structure.  The map at the bottom of this email shows the route.  If you are staying at the hotel, see below for more information.  We will be on Pascua Yaqui native land; to learn more about the tribe’s rich culture, spiritual values, ceremonies, and more, go to https://www.pascuayaqui-nsn.gov

How do I check in?  Once you’ve entered the Conference Center, follow signs to the RinCon registration desk. Have the confirmation email you received from Eventbrite (the one with the QR code) up on an electronic device of your choice, or a printout of that email with the QR code ready for us to scan.  Our volunteers will check you in and give you your badge and any food/beverage vouchers you purchased.  Hours are Friday 10:00AM – 11:00PM, Saturday 8:30AM – 11:00PM, and Sunday 8:30AM – 6:00PM.

How do I find information about game sessions?  Games HQ can be found at one end of the registration desk.  That’s where you pick up/drop off the game flags for your board games and get your RinCoins.

What are RinCoins?  They are an in-convention currency you get for winning games and GM-ing on-theme games.  They can be spent at the vendors in the exhibitor area or at registration to buy raffle tickets, RinCon swag, or super-preregistration tickets for RinCon 2024.

What if I’m staying at the hotel?  For Del Sol, check in at the lobby near the conference center (next to Prema Bar, which will be featuring our signature RinCon drink menu).  For Estrella, check-in is in the lobby of the tower, parking is adjacent.  All hotel guests will be receiving a $20/night card for their Friday and Saturday stays, which should be used when you check out and pay.

What amenities does the casino resort have?  See the attached listing of the onsite food/beverage locations and their hours.  We’ll also have a map onsite with routes labeled for getting to each of the food venues.  Because this is a casino, if you are under the age of 21, you will need to stay off the gaming floors unless accompanied by someone over 21.  This includes the carpeted lobby adjacent to the conference center, because it contains slot machines.  No outside food or beverage is allowed in the conference center, but you may always bring food purchased onsite back to your gaming table.

COVID/other illness policy: If you have COVID or symptoms of COVID or other viruses (fever, chills, shortness of breath, fatigue, muscle/body aches, sore throat, headache, now loss of smell or taste, nausea, vomiting, diarrhea), please stay home, rest and recuperate, and contact us – we will be happy to refund your ticket.  As of this writing, the community level of COVID as described in CDC policy, is LOW. We’ve lost too many members of our community and are supporting too many others as they struggle with long COVID to not take this seriously, though.  SAGA/RinCon supports the wearing of masks at community events, and will provide them for attendees to use if they wish.  We expect that attendees be considerate of others if they are asked to wear a mask at a game session that does not allow for social distancing.  We will be implementing onsite procedures consistent with mitigating the spread of all illness, including COVID (and con crud!). We also truly hope that those who are medically able to be vaccinated do so, in order to reduce further spread.  Let’s keep our fellow gamers, their friends and family, and the community at large as safe as we can!

Looking forward to seeing you all very soon!  Let’s get KRAKEN with RinCon!
