Greetings, gamers – we have important news for you about RinCon and more! TL;DR: the dates for this year’s convention will be October 3-5, 2025, and we have several other events between now and then (see dates at the end of this email – the first one is MAY 31, IN JUST A COUPLE OF WEEKS!! SPREAD THE WORD!!!). We can’t wait to see you all and hear about all the awesome games you’ve been playing lately, and get some of those games to the table!
Now for the nitty-gritty, and some of it is quite gritty, with a heaping side of nitty. We’ve been working behind the scenes to finalize the details for this year’s convention as well as the fundraiser game days. Many of you are likely aware of the event that threw a monkey wrench into the process. This year’s Wild Wild West Con, also held at Casino Del Sol, had to end early due to a medical emergency (nasty and fast-spreading intestinal bug). It was the tribal medical authority’s decision that the convention should end immediately, and both the casino and the convention heartily agreed that it was the right thing to do for the safety of the convention attendees, casino staff, and general public. The physical process of shutting down the event went smoothly and without incident; the steampunk community was amazing. Everyone rallied to help each other – by the time we arrived back on site to start loading out our boardgame and RPG supplies, our entire games library had been packed up. Neatly. Mostly by convention attendees. 🙂 During and after the shutdown, however, communication from the casino did not occur in a way that made us comfortable. Information regarding the decision process was not provided to the WWWC convention team, external public messaging was inconsistent between the casino and the convention, information was officially publicized by the casino without verification, and updates to the convention team over the course of the following weeks were nearly nonexistent. This gave us pause; having a mutually supportive ongoing relationship with our convention site is of paramount importance, especially in the case of an unprecedented occurrence like this one. (Literally unprecedented – Casino Del Sol has never had to end an event like that before…) We’ve been in extensive conversations with the casino team regarding expectations going forward, and are satisfied that our contact people are on the same page with us with respect to priorities, the importance of transparent decision making, and clear and accurate communication, both between our organizations and in publicly released information.
